What you get from the check
- A review of how missed calls and web inquiries reach your office.
- A clearer owner and next action for follow-up.
- A practical discussion of whether Half Hitch fits your workflow.
Prefer to review ten leads yourself?
Use the checklist below. Keep customer details in your own systems.
Choose a useful sample
Select ten recent inquiries across the channels that matter: missed calls, website forms, text messages, campaign leads, and estimate requests. Use real records rather than a perfect demo path.
Build the timeline for each lead
- When did the inquiry arrive?
- Which channel and campaign produced it?
- When did the first meaningful response occur?
- What information did the prospect provide?
- Who owned the next action?
- How many follow-up attempts occurred?
- Did the conversation reach a clear outcome?
Use clear outcome labels
Find the first repeated breakdown
Do not try to automate everything at once. Look for the earliest problem that appears more than once: missed calls with no acknowledgment, form alerts buried in an inbox, repeated questions, unclear handoffs, or quiet leads with no next date.
Check safety and control
- Does every automated message identify the business?
- Is consent stored where required?
- Can a prospect opt out?
- Does opt-out apply across duplicate records for the same person?
- Can a human pause the automation and take over?
- Do delivery or provider failures create a visible alert?
- Are customer data and internal prospecting data kept separate?
Turn the audit into one change
Document the gap, the proposed owner, the desired response, the stop condition, and how success will be measured. Test it on a controlled sample before making it the default.
Half Hitch Systems offers this review for HVAC companies that want to understand the leads they already generate before adding more tools or more ad spend.
A worksheet you can use today
Download the ten-lead worksheet
Open it in Excel or Google Sheets. Use internal reference numbers instead of customer names or phone numbers. Keep the completed worksheet inside your business; the download does not send any records to Half Hitch.
What happens when you request a check?
- Tell Liam your company name, contact details and the response problem you want to discuss.
- We review how calls or web inquiries reach your team and clarify the current handoff.
- We identify the first gap to investigate and whether Half Hitch fits that workflow.
You do not need to upload customer conversations in the request form. Sending a request does not book an appointment or activate automated messaging for your customers.
